The Yorba Linda Public Library offers two rental rooms for small and large events: The Library Community Room and the Olinda Room. If you are interested in booking a Study Room, please visit our Study Room webpage.

Submit your rental request by completing the Rental Application and emailing it to ylpleventrentals@yorbalindaca.gov. Please include a brief summary of your event in the email.

Library Community Room
Located on the first floor of the Library, the Community Room has full room or partial room rental available. Room capacity will depend on type of room set-up. The Library has chairs and 5’ rectangular tables available with the room rental. Audio-visual equipment includes wireless microphones, screens, and projectors.

Olinda Room
This conference room is located on the second floor of the Library. The Olinda Room may seat up to 16 people. Audio-visual equipment includes a HDMI cord and TV.

Facility Rental Application
Thank you for your interest in reserving the Library Community Room or the Olinda Room. The following steps will assist you in making the reservation process go as smoothly and quickly as possible.

1. The contract holder (individual reserving the room) is required to complete and sign the Library Rental Application and the Room Rental Use Policy.

2. The contract holder (individual reserving the room) must visit the Library, in person, to complete the reservation process.

3. An initial payment of $500 is required to secure the booking if your event is further than 60 days out. If the event will take place within 60 days of placing the reservation or the total amount of the rental is under $500, payment will be required in full at the time of booking.

4. Additional paperwork may need to be completed based on the type of event and if you are having alcohol and require a security guard.

Reservation Timeline
Please use the following timeline to determine when you are able to reserve the facility based on your residency status.

· Yorba Linda Non-Profit Organizations: May reserve 18 months prior to their event date.
· Yorba Linda Residents & Commercial Businesses: May reserve 15 months prior to their event date.
· Non-Resident Organizations and Individuals: May reserve 12 months prior to their event date.

The Yorba Linda Public Library Facility Rental Pricing Sheet outlines fees associated with the rental classifications for Yorba Linda Residents and Non-Residents in the following categories:
· Private Events
· Commercial Events
· Non-Profit, PYLUSD, & Government Agencies
· Churches

Additional Rental Fee Information
· All rental fees are hourly.
· Olinda Room rentals and weekday Community Room rentals require a 2-hour minimum rental period.
· Saturday and Sunday Community Room rentals require a 7-hour minimum rental period. Community Room rentals on Saturday and Sunday are not divisible and may only be reserved once per day.
· Rentals times must include at least a one-hour set-up time, event time, and a one-hour clean-up time. Depending on the type of event, additional set-up and clean-up time may be required.
· $500 initial payment, per room, is due at the time of booking. Should the event fees total less than $500 or the event date is within 60 days of the date of booking, the full amount of rental fees will be due at the time of booking.
· Proof of residency is required at the time of booking.
· The contract holder is liable for the event, guests, and any damage to the facility, and must be present for the duration of the event.
· For events serving alcohol with 100 or more people, the Library’s contracted security guard service must be present from the time guests arrive through the clean-up hour. The hourly rate for one security guard is $24 per hour.
· All rentals users of the facility are required, at their own expense, to provide liability insurance meeting the City's Facility Rental Liability Insurance Requirement for the duration of the event. If the rental user cannot provide their own insurance, insurance must be purchased from the City's insurance provider at an additional cost ranging from $69 to $500 based on the type of event.

The Library Policies and Procedures outline important details regarding the application and payment process, general regulations related to the facility, policies related to decorating and clean-up, insurance requirements, and policies related to serving alcohol and event cancellations. Based upon your rental classification, there are two sets of policies and procedures:

Reservation Timeline

Liability Insurance
All rental users of the facility are required, at their own expense, to provide liability insurance meeting the City’s Facility Rental Liability Insurance Requirements for the duration of the event. If the rental user cannot provide their own insurance, insurance must be purchased from the City’s insurance provider at an additional cost ranging from $69 to $500, based on the type of the event.

Alcohol Policy
For further information on alcohol policies and procedures, please view the Alcohol Policy section of the Policies and Procedures rental documents listed above. Important items pertaining to the Alcohol Policy include:

· Alcohol may be served or sold (additional insurance may be required);
· Alcohol service is limited to five and one-half (5 1/2) consecutive hours and must end one-half (1/2) hour prior to the end of the event;
· The Community Center's contracted security guard service is required at all events serving alcohol with 100 or more people in attendance. The security guard service must be present from the time guests arrive through the end of the clean-up hour. The hourly rate per guard is a minimum of $26/hour. Pricing is subject to change.
· All private parties and commercial events, as outlined in the alcohol policy, serving alcohol are required to enter into an agreement with Center Wedding & Events to purchase and serve alcohol. Further details on the bar pricing and available packages can be obtained by contact the Community Center or Center Wedding & Events at (657) 242-4568; and
· Patrons of the facility may not bring their own alcohol to events. All alcohol must be provided by Center Wedding & Events
